Oversees the Purchase Order (PO) inbox, reviewing club and hotel requests to ensure minimum order quantities are met and preventing excessive stock levels. Operates within a “just in time” stock model due to limited storage capacity across clubs.
Provides training and support to clubs on how to raise purchase orders, offering ongoing coaching throughout the ordering process.
Manages warehouse processes, ensuring accurate stock reporting and completion of trackers for relevant business functions.
Liaises directly with suppliers regarding price changes and product specifications for consumables, maintaining up-to-date information for purchasing decisions.
Ensures Safety Data Sheets (SDS) are obtained and logged for all chemical and cleaning product deliveries.
Advises clubs on sourcing and purchasing items not listed on NetSuite, such as catering equipment, chemicals, and specialist cleaning products.
Manages Amazon requests from clubs, reviewing internal supply chains to determine whether items can be sourced more effectively through existing suppliers.
Conducts regular cost comparison exercises (e.g., paper products, cleaning materials, wristbands) to ensure the business remains competitively sourced.
Supports the tendering process by conducting initial research and groundwork for presentation to the Head of Procurement.
Approves supplier invoices within NetSuite in line with procurement protocols.
Manages the DPD courier service to ensure timely and efficient delivery operations.
Provides holiday cover for the warehouse team as needed, supporting continuity of operations.
Carry out general administrative tasks as required, supporting wider business needs and team priorities on an ad-hoc basis.
What we are looking for:
Strong communication skills with the ability to engage confidently and professionally at all levels across the business and with external suppliers.
Advanced Excel skills, including proficiency in formulas, pivot tables, data analysis, and reporting.
High level of attention to detail and accuracy when processing orders, managing stock levels, and approving invoices.
Solid understanding of stock control and warehouse processes, ideally within a “just in time” model.
Strong organisational skills with the ability to prioritise tasks, manage multiple requests, and meet deadlines in a fast-paced environment.
Experience in conducting cost comparison exercises and working with suppliers to ensure value for money.
Confident in interpreting Safety Data Sheets (SDS) and understanding the importance of chemical product compliance.
Ability to coach and support others through procurement processes, including raising purchase orders and sourcing non-standard items.
Comfortable working autonomously and taking ownership of processes, while also being a collaborative team player.
Flexible and reliable, with the willingness to provide holiday cover for warehouse operations when required.
